An organization puts your colleagues on one Pro subscription. Each member gets their own Pro allowances, the owner's account pays for every seat, and administrators manage who has access from the **Organization** section of the dashboard at [equibles.com/teams](https://equibles.com/teams).

## Set up an organization

Organizations are included with Pro. With an active Pro subscription, open **Organization** in the dashboard and give it a name. Your Pro subscription becomes the organization's subscription and your seat counts toward the minimum. Invitations, member access and company sign-in start once the organization has at least **two paid Pro seats**; an organization can have up to 100. If your Pro subscription ends before the organization reaches two paid seats, the organization closes.

Owners and administrators can rename the organization later from **Overview**.

## Roles

| Role | What they can do |
|---|---|
| Owner | Everything an admin can do, plus require company sign-in, switch back to individual Pro, close the organization and transfer ownership. The owner's account is billed. |
| Admin | Invite and remove people, change roles, add or reduce seats, rename the organization, open payment and invoices, export member and usage CSVs, create and revoke organization API keys, verify company domains and set up company sign-in. |
| Member | Use Pro, and see the organization overview, their own usage and company sign-in. |

## Seats and pricing

Every seat costs the same monthly price as your Pro subscription. **Billing** shows your seat price, and current list prices are on the [pricing page](https://equibles.com/pricing).

- **Added seats keep your price.** If your subscription has an earlier or personal price, new seats are charged at that price too.
- **The first-month offer is not repeated.** It applies only to the first invoice of an individual Pro subscription. Organization checkout and seats added later are charged at your regular price.
- **Ongoing discounts carry over.** A discount that applies to every invoice of your subscription also applies to added seats.
- **You confirm every seat purchase.** Adding seats shows the prorated amount for the rest of the billing period before anything is charged. The new seats become available once the payment succeeds.
- **Reductions apply at renewal.** Lowering the seat total takes effect at the next renewal, with no refund or credit for the current period. You can cancel a scheduled reduction before it happens.
- **Removing a member does not lower the bill.** Their seat is free for someone else straight away; reduce the seat total in **Billing** to pay for fewer seats.

**Payment & invoices** in **Billing** opens the secure billing portal, where you update the card, download invoices or cancel. You can also set your company name, billing address and tax ID, such as a VAT number, there; they are printed on later invoices. Checkout asks for the billing address and, where Stripe supports a tax ID for your country, offers the tax ID and company name too. Equibles does not calculate or add tax from a tax ID.

## Invite people

In **Members**, paste up to 50 work email addresses at once, separated by commas or new lines, choose Member or Admin, and select **Send invitations**. Each invitation:

- reserves a paid seat until it is accepted, revoked, or expires after 21 days;
- can only be accepted by an Equibles account with that exact, verified email address;
- is emailed; for the first five invitations in a batch the link is also shown so you can share it yourself, and **Resend invitation** issues a fresh link for anyone else.

People who are already members are skipped, and the confirmation says how many. If the invitations need more seats than you have free, you see the cost of the extra seats first. Nothing is charged and nobody is invited until you confirm, and the invitations go out once the payment succeeds. If the payment needs another step, such as card authentication, finish it in **Billing**; the addresses usually stay in the **Members** form so you can send them afterward.

## Share an invite link

An admin can create an invite link in **Members**. Anyone who opens it and signs in with a verified email address can join:

- while a paid seat is free, they join as a member straight away;
- when no seat is free, or when your organization requires company sign-in, their request waits for an admin to approve it.

A link never buys seats and always joins people as members; promote them to admin afterward if needed. Requests appear in **Members**: **Approve and invite** sends the person an invitation to accept, showing the cost of an extra seat first if none is free, and **Decline** turns the request down.

A link works for 30 days and is shown only once, when you create it. Each organization has one link at a time: creating a new link turns the old one off, and **Turn off link** disables it immediately.

## Let colleagues join with their company email

In **Access & SSO**, add your company domain and verify it with a DNS TXT record. Then choose **Who can join?**:

- **Only people you invite**, the default;
- **Verified company email, with admin approval**: colleagues request access, and an admin approves or declines it in **Members**;
- **Verified company email, automatically join**: colleagues join straight away while a seat is free, and otherwise wait for approval.

Colleagues signed in with a verified address on that domain open **Organization** in the dashboard and select **Join organization**; they do not need Pro of their own. Domain joining never buys seats. Someone an admin removed, or whose request was declined, cannot rejoin through a domain or an invite link; an admin has to invite them again.

## Company single sign-on

Once a company domain is verified, admins can connect company sign-in through OpenID Connect with **Microsoft Entra ID**, **Okta** or **Google Workspace**. The setup page walks through creating the app in your provider and registering the callback address. Each member then selects **Connect company sign-in** under **Company sign-in** and signs in with the same email they use on Equibles.

After testing it on their own account, the owner can require company sign-in, so members have to sign in through your provider to use their account. Replacing the provider configuration asks every member to link company sign-in again.

## What members get

- **Their own Pro allowances.** There is no shared pool, so one member's heavy use never uses up a colleague's limits.
- **Private research by default.** Portfolios (watchlists included), alerts and saved screens stay private unless you [share a portfolio](#share-a-portfolio). Admins see usage totals for each member: API and MCP requests, and ALVIS credits used.
- **Priority support** for every active member.
- **One organization per account.** An account can belong to one organization at a time.

Joining does not cancel a personal subscription the member already pays for. Cancel it from **Personal billing** in your dashboard to avoid paying twice.

## Share a portfolio

Any member with an active seat, signed in through company SSO when the organization requires it, can share a portfolio they created: open it in **Portfolios**, choose **Share with organization** from the **More portfolio actions** (⋮) menu, and pick who can open it:

- **Private**, the default: only you;
- **Organization can view**: every member sees its holdings, lots, value and watchlist, and can download the CSV;
- **Organization can edit**: members can also add, change, close and remove holdings and watched instruments.

Shared portfolios appear to colleagues under **Shared with your organization**, next to their own. Only the creator can rename, delete or change sharing, and alerts stay personal: they never cover a portfolio someone shared with you.

Access follows membership. Someone who is removed, or whose organization closes or stops paying, loses access straight away, and a member who must sign in through company SSO sees shared portfolios only after signing in that way. If the creator leaves, their shared portfolios become private again and stay private if they rejoin later.

Shared portfolios also work through [MCP](/docs/mcp/tools/portfolio) and the [API](/docs/api/endpoints/portfolios): ask your assistant about a colleague's portfolio by name, or list them with `GET /v1/portfolios/shared`. When the organization requires company sign-in, MCP and the API show shared portfolios to members who have signed in with company SSO since it was last set up. [Organization API keys](#organization-api-keys) reach them too.

## Organization API keys

Owners and admins create keys that belong to the organization in **API keys**. Use them for integrations your company runs, such as an internal dashboard or a nightly export, so they keep working when the person who set them up leaves.

- **Counted against a member's allowance.** A key's requests count against the daily allowance of the member who created it, as if they had made them, and keys use no seat. If that member leaves or loses their seat, the key keeps working on the owner's allowance, so revoke keys you no longer need when someone leaves. **API keys** shows whose allowance each key uses, and **Usage** shows the keys' requests on their own row.
- **Shown once.** Copy a key when you create it; only its first characters are kept to identify it. **API keys** lists who created each one and when it was last used.
- **Company sign-in doesn't apply.** Only an admin can create a key, so requests made with one are not asked to sign in through company SSO.
- **Shared portfolios only.** An organization key can't create portfolios of its own. It reads the portfolios members [share with the organization](#share-a-portfolio), and can change holdings in those shared with edit access.
- **Up to 20 keys.** Revoke a key from **API keys** and requests that use it are refused at once.

Keys work while the organization is paid up. If its subscription lapses they fall back to the Free plan, and closing the organization revokes them.

## Remove people or wind down

- **Remove a member** from **Members**. Their access ends immediately and their seat is free for someone else.
- **Switch back to individual Pro** with **Review switch to individual Pro** in **Billing**. The owner first removes other members and revokes pending invitations. The organization keeps its paid seats until renewal, then closes, and the owner keeps personal Pro and all their research.
- **Close an organization** from **Overview**, after removing other members and revoking invitations, if it was never activated or its subscription has ended.

## Transfer ownership

The owner can hand the organization to an active admin with **Make owner** in **Members**, then type that admin's email address to confirm. The new owner takes over billing, and the previous owner stays on as an admin.

- Future invoices and receipts go to the new owner.
- The card on file keeps paying until the new owner replaces it in **Payment & invoices**, and they can see the subscription's past invoices.
- A transfer waits until pending seat changes, payments, checkouts or a scheduled cancellation are resolved.
- If either person has other billing history with Equibles, such as an earlier personal subscription, the transfer cannot run on its own; [contact us](https://equibles.com/legal/contact).

## Email notifications

Equibles emails the people an organization change affects:

- every owner and admin, when someone asks to join through an invite link or a company domain, with a link to **Members**;
- the person concerned, when an admin declines their request, removes them or changes their role;
- the new owner and the previous owner, when ownership is transferred. The new owner's email explains how to add their card and company details.

Revoking a pending invitation sends no email.
